Under the direction of the District Manager, the Community Events Supervisor is responsible for the planning, coordination, and execution of all public-facing community events hosted or supported by the Tehachapi Valley Recreation & Park District (TVRPD). This position plays a vital role in building community connection through well-organized, inclusive, and engaging events. Responsibilities include logistics, promotion, supervision of event staff and volunteers, and budget monitoring for events. This position requires working evenings, weekends, and holidays as event schedules demand and may require working outdoors in various weather conditions.
Event Planning & Operations
- Develop, coordinate, and implement a year-round calendar of community events including 5ks, ceremonies, seasonal activities, special community initiatives, and community partner events.
- Serve as on-site supervisor at events, managing logistics, overseeing set-up and breakdown, ensuring safety and cleanliness, and providing direct supervision of event staff and volunteers.
- Work with vendors, contractors, and community partners to facilitate event services (ex. food, entertainment, rentals, permits).
- Coordinate event registration processes, sponsorship packages, and vendor applications when applicable.
- Maintain detailed event files including schedules, budgets, supply lists, staff assignments, and post-event evaluations.
- Prepare event reports, promotional content, social media, and community flyers.
- Attend community and stakeholder meetings to build partnerships and promote events.
- Coordinate and communicate with other TVRPD departments for use of facilities and parks for events.
- Ensure compliance with safety regulations, insurance requirements, and permitting processes.
- Oversee the Dye Natatorium Pool: staffing, supplies, operations, and schedule
- Oversee the Adventure Camp Director and Summer Adventure Camp
Staff & Volunteer Management
- Recruit, train, schedule, and supervise part-time event staff and volunteers.
- Ensure staff and volunteers are equipped with necessary tools and information to successfully support each event.
- Maintain professional standards of customer service and conduct among all event personnel.
Promotion & Outreach
- Promote events through TVRPD’s website, social media platforms, print materials, and other relevant avenues.
- Develop and distribute event marketing collateral, including seasonal flyers, rack cards, and digital campaigns.
- Cultivate relationships with local businesses, organizations, and media outlets for sponsorships and publicity.
Administration & Budgeting
· Responsible for preparing, developing, and monitoring event budgets, ensuring cost-effective spending aligned with District priorities.
- Prepare supply and equipment orders within approved budgets.
- Development of the District’s annual events calendar and planning timeline.
Safety
- Identify and mitigate safety risks associated with events.
- Report any accidents or unsafe conditions immediately.
- Maintain training certifications as required (e.g., CPR, First Aid, etc.).
Other
- Regularly assists and collaborates other departments as needed

1. Possess a Bachelor’s degree in Event Management, Recreation, Communications, or related field (preferred).
2. Minimum of two (2) years of experience coordinating public or private events, preferably within a municipal or community setting.
3. Strong organizational and time management skills with attention to detail.
4. Excellent social media and advertising skills and knowledge.
5. Excellent written and verbal communication skills.
6. Proficient in Microsoft Office and social media platforms.
7. Ability to work flexible hours including evenings, weekends, and holidays.
8. Ability to lift up to 50 pounds and perform physical event setup as needed.
PREFERRED QUALIFICATIONS
1. Experience with recreation/registration management software.
2. Bilingual in English and Spanish.
3. Graphic design experience.
4. Experience coordinating volunteer programs.
5. Familiarity with community engagement practices in small or rural communities.
Licenses and Certificates
· American Red Cross First Aid/CPR/AED certified or must obtain within 3 months
· American Red Cross Lifeguard certified or must obtain within 3 months
· Valid California driver’s license; driving record must comply with District safety standards
· DOJ Fingerprint Rolling certified or must obtain within 3 months
· Frequently required to stand, walk, bend, lift, and carry materials weighing up to 50 pounds.
· Work indoors and outdoors in all weather conditions.
· Must be able to work a variable schedule based on event needs.
· May be exposed to noise, crowds, and environmental hazards associated with public events.
· Use of safety and personal protective equipment as required by OSHA/Cal OSHA
